WHO WE ARE

‍Care Squared is both a Processor and Controller of personal data processed through this website and through our different services. Our registered office is located at Fourth Floor, Rockfield North, Dundrum D16 W7W3.

‍‍WHAT WE DO

‍Care Squared provides a range of supports for people and professionals who provide care to vulnerable children, young people and adults.  In this regard we assist professionals working within residential settings to help them improve the quality and safety of the care they provide. We also provide Paediatric Clinical Neuropsychology and Occupational Therapy services. This privacy statement is tailored to reflect all our services.

‍Care Squared is committed to protecting the rights, privacy and dignity of all individuals whose personal data we process.  This includes the children and young people we work with, their families, staff, job applicants, professionals, contractors and members of the public.  It is the intention of this privacy statement to explain the information practices of Care Squared in relation to the information we collect about our clients and other website users.

‍‍Please read this statement carefully as it sets out the basis on which any personal data, we collect from clients or generate in respect of same, will be processed by us.

INFORMATION WE COLLECT

‍You may choose to give us information about you by filling in forms on our site such as the Contact Us Form or by corresponding with us by phone, e-mail or otherwise.  Care Squared only asks you to disclose as much information as is necessary to provide you with information requested by you or to submit a question / suggestion / comment in relation to our website.

‍‍We may also collect details of your visits to our site (including, but not limited to, traffic data, location data, weblogs and other communication data), and the resources that you access. When you access our website, your computer’s browser provides us with information such as your IP address, browser type, access time and referring URL which is collected and used to compile statistical data on the use of our website. This information may be used to help us to improve our site and the services we offer.

‍‍The Internet pages of Care Squared uses cookies. Cookies are text files that are stored in a computer system via an Internet browser.  Many Internet sites and servers use cookies. Many cookies contain a so-called cookie ID. A cookie ID is a unique identifier of the cookie.  Through the use of cookies, Care Squared can provide the users of this website with more user-friendly services that would not be possible without the cookie setting.

Furthermore, already set cookies may be deleted at any time via an Internet browser or other software programs. This is possible in all popular Internet browsers. ‍‍Referrals

‍When a child or young person is referred to us by a Tusla Social Worker, considerable information is sought if available, initially to help determine if it is possible and appropriate for us to provide a clinical service to the child or young person concerned, and subsequently to inform and underpin that service.  All information requested is clinically mandated i.e. it is considered necessary by our clinicians to meet the current professional standard of clinical assessment / intervention.

When carrying out an assessment we also undertake a range of actions, creating professional notes and completing clinical testing throughout. ‍All assessments are concluded by the delivery by us, of a clinical report with recommendations.  Our Occupational Therapy service may also provide support plans and training in their use.

‍‍Some clinical testing will be carried out using Q-Interactive – a recognised digital assessment platform designed to support psychologists and other clinicians, educators etc. that has been adopted by use by the St. John of Gods, Lucena Clinic (CAMHS) and others in this jurisdiction. 

‍While Care Squared is satisfied that Q-Interactive is GDPR compliant, following Privacy Impact Assessment, a decision was made by Care Squared to further safeguard information relating to the children and young people referred to our services by not providing any identifying information relating to a referred child or young person to Q-Interactive.  This includes their name, their initials, their address, or those of their family members.  Instead, a random six-digit numerical code is generated - the key to which is stored separately on Care Squared’s servers.

HOW YOUR INFORMATION IS USED

‍Where a referring Social Worker submits a child or young person’s personal information to us, it is only ever used for the purpose stated above and it is never shared with any third party. ‍‍ ‍

If we do not accept the referral i.e. for whatever reason, we choose not to carry out the assessment / provide the service requested, we return, delete or destroy all the records provided.  As we do not request personal data in enquiry emails, we do not delete same unless personal data has been supplied in error.

‍‍Contact information provided by referring Social Workers and other website visitors, will again only be used by us for the purposes for which it was provided and any reasonably incidental purposes including providing same with the information requested from us; marketing and administration purposes; for analyses purposes including ensuring that content from our site is presented in the most effective manner for you and for your computer.

‍Care Squared undertakes not to sell or rent to any third party whatsoever any personally identifiable information about you.

HOW YOUR INFORMATION IS STORED

‍As a matter of course, Care Squared relies on electronic records as much as possible as this limits the opportunity for data breaches to occur through theft and carelessness.‍ However, where paper referral records have been received, they are stored in a locked filling cabinet and/or a paper safe until such time as they can be scanned at which point, they are destroyed or returned to the referring Social Worker by agreement.

‍‍All electronic data is stored on single-purpose, encrypted laptops and/or on GDPR compliant servers through Microsoft Business Premium accounts, which provide the highest levels of data protection Care Squared, as a small provider, can access at the current time.

HOW LONG YOUR INFORMATION IS STORED‍ ‍

The data we collect is stored for the following timeframes:

  • ‍All referral records, in paper or soft-copy format, relating to children and young people we choose not assess are destroyed and/or or returned to Tulsa by arrangement within 10 working days.

  • ‍All other referral and report-related records incl. clinical notes, but with the exception of below, are stored securely by Care Squared in perpetuity until such time as:

  1. ‍Tulsa makes arrangements to store these records or

  2. ‍Tusla requests that we delete these records or

  3. ‍Care Squared intends to cease trading.

‍‍In all cases, Care Squared will make the necessary arrangements to transfer any/all referral and report-related information held by us and requested by Tusla to that organisation and having done so, we will delete all records on our systems.   

‍‍Coded clinical tests and the keys that relate to them that may be needed in future for clinical reasons e.g. to benchmark a child or young person’s progress etc. will be retained by Care Squared either on our servers or on Q-Interactve’s servers until such time as they are no longer be needed, at which time they will be deleted from all systems.  Clinical tests are not transferred to Tusla.

YOUR RIGHTS

‍You have a right to ensure that the information we collect and hold in relation to you is accurate and kept up to date. If you would like to review the information we have collected on you at any time, please see contact below.

‍‍You also have the right to have the information erased if we do not have a legitimate reason for retaining same. We will accede to any such valid requests within 40 calendar days of the receipt of a valid request from a Tusla Social Worker in writing.

‍‍You have the right to be given a copy of information held by us about you. We will provide the requested information to you within 40 calendar days of the receipt of a valid request in writing. We might request you to provide additional information to enable us to identify your personal data and/or to verify your identity.

SECURITY

‍As stated, we endeavour to use industry standard security measures to protect your information and to prevent the loss, misuse or alteration of any information in our control. However, the transmission of information via the internet is not completely secure and we cannot guarantee that all of your private communications and other personally identifiable information will never be disclosed. However, we will use our reasonable endeavours to ensure that such information is kept as secure as possible.

AMENDMENTS TO THIS PRIVACY STATEMENT

‍This Privacy Statement may change from time to time, and any changes to this Policy will be posted on the website and will be effective when posted. As your use of Care Squared’s website (in development) is subject to your acceptance of this Privacy Statement, and any amendments thereto, please review the Privacy Statement each time you use this website.
